Collision Center Estimator/Assistant – Auto Dealership Body Shop

Accuracy. Honesty. Attention to detail. If you have these qualities AND want to make a great living putting them to use, then our dealership has an opportunity for you. The body shop office assistant will report to the Body Shop Manager and is responsible to help and assist in all aspects of the body shop's daily workflow. Our goal is to always exceed expectations, and we need an assistant who feels the same way.

Prior experience as a Collision Center Estimator/Assistant is preferred or in a customer service role.

Job Responsibilities

  • Check-in all vehicles upon arrival (with the customer when able).  Mark repair areas and pre-existing damage areas then photograph and create a file for each vehicle. If the owner is not present at check-in, we must email or fax the sheet to the owner.  “Windshield needs the following:   RO, Dates in/out, Insurance Company, all sublet items and/or special requests.”
  • Send the vehicle back to the tech as soon as possible with a copy of the estimate. This is critical for cycle time management.
  • Attend morning meetings, taking notes, to obtain updates for customers. This will also help you to know where all vehicles are in production at all times.
  • Update all customers through phone calls or emails twice weekly. (Tuesdays and Thursdays) or when any change occurs with the repair plan. Note all communication on the back of the folder and what was discussed.
  • Answer phones, schedule appointments, and order parts on the original estimate.  Note on the folder when parts are ordered.
  • Greet all customers coming into the department and assess their needs.
  • Fax completed supply order. Put the product in its place as soon as it arrives after checking the invoice for missing items. Document on spreadsheet and scan into a digital file.
  • Take all invoices to the office daily and check the body shop mailbox.
  • Communicate professionally with all technicians, adjusters, and internal departments
  •  Provide the highest quality of customer service to our customers, adjusters, co-workers, and sublet providers.
  • Maintain cleanliness of office and personal areas. Ensure there are no safety concerns.  Communicate all safety concerns to the manager.
  • Wear proper safety equipment in the shop area.
  • Call all Insurance Companies before completion of repair to verify deductible and where check(s) are going so we collect the proper amount. Note this on the folder.
  • Before the vehicle's scheduled date, ensure all parts have arrived.
  • When parts arrive, check off on sheet and arrange piles of parts. Put all return parts in a separate place for parts pick up.
  • Track receivables on a spreadsheet and maintain good payment trails. Obtain copies of checks, receipts, and credit card transactions for each digital file.
  • Open repair orders when a customer schedules and assist the customer with any rental needs.

  • Valid Driver’s License and maintains a clean driving record.
  • Attend and complete all classes and/or tests to be in full compliance with all regulations.

Education and/or Experience

High school diploma or GED; Collision Center experience is a plus.
