The Service Call Center Scheduler/Cashier is responsible for timely responses to incoming sales leads via email, phone, and text communication.  By his/her actions, the Service Call Center Scheduler influences the volume of service business while playing a key role in ensuring customer satisfaction. The cashier receives cash from customers and employees in payment for goods or services and records the amount received in an accurate manner. S/he is sometimes the customer’s first and last contact with the dealership and therefore must represent the dealership in a friendly professional manner.

On a typical day, this will include:

  • Set appointments and discuss the prospect with appropriate managers
  • Follow up on internet customer e-mails according to timeline
  • Schedule follow-up contact if no appointment is made
  • Receive cash, checks, and credit card payments from customers and record the amount received.
  • Filing accounting copies of repair orders and parts tickets numerically.
  • Add up and send one deposit to the bank daily.
  • Reconcile and replenish cash boxes and petty cash.
  • Run the Accounts Receivable statements and mail them out monthly.
  • Make collection calls on any receivables over 30 days and send any collection letters if necessary.
  • Answers multiple incoming lines in an efficient, timely manner (by the third ring)
  • Maximize the usage of the voice mail system. Take a message if the caller requests.
  • Review sales schedules daily, and keep abreast of who is in and who’s not; ask questions to keep informed of when employees will return.
